Federally-qualified health centers (FQHC) provide medical services to patients who are uninsured and underinsured, as well as to those who rely on public health programs such as Medicare and Medicaid. More than 20 million Americans rely on FQHCs for primary care services, meaning it is important for these centers to have fully-certified electronic medical record software if they are to provide the best possible care to their patients.
Finding the right EMR and practice management solution for an FQHC environment is simple with IMS. We offer an intuitive, customizable EMR system designed with federally-qualified health centers in mind. Our system helps providers improve efficiency and reduce manual errors, all while providing comprehensive patient care.

ON-LINE ELIGIBILITY AND INSURANCE VERIFICATION:
Within Seconds as the patient is calling in to set the appointment, IMS checks to see if the Patients Insurance Policy is Legitimate. This is an all payer solution. It checks to see if there is a fixed Co-pay and if so what the amount is. IMS checks the deductible and deductible balance as of today. Some of the insurance carriers will provide a lot of additional information.
AUTOMATED CHECK IN AND CHECK OUT WITHIN THE EMR SOFTWARE:
Within one click IMS scans the patients insurance card through a small duplex insurance card scanner.
IMS notices that they are a new patient so it prompts to generate a Patient Intake Form.
The Practice Management Software then Auto-Fills any data that the patient provided when they called in to set their appointment.
The software also then knows what forms need to be signed based on the appointment type, age and gender of the patient.
Forms are signed digitally at the front desk on a Digital Signature Pad. IMS then has the ability to take a photo of the patient – with their consent.
We have also integrated the Credit Card and Debit Card Processing within IMS. It will Auto-Post the payment simply by swiping the card. IMS can also set the patient up on a payment plan or even generate a patient statement upon check in. Automated Letters such as Welcome to the office can easily be printed as the patient checks in or as they check out.
PATIENT PORTAL – WITH EMR & PRACTICE MANAGEMENT:
We have a beautiful Patient Portal that allows the patient to key themselves into your EMR software via an encrypted web site.
Not only can they put in their demographic information, IMS also allows them to easily input their Chief Complaint, Current Medications, Social History, Medical History, Family History, Surgical History, Activities of Daily Living and the Subjective data. In addition they can request an appointment, see their own prescriptions, labs results and documents, etc. The access is controlled by you, so you get to design the Patient Portal to look and feel the way you want it.
PATIENT CHECK-IN KIOSK INCLUDED WITH THE EMR:
The Patient Check in Kiosk has become a popular item. It allows for the Patient to check themselves in with an ID Card, I-Pad, Tablet PC or large touch screen monitor.
The Patient Check in Kiosk is completely secure and HIPAA Compliant. Your Patient’s can also Sign Forms digitally. They can input their own patient information and Subjective Visit Note Data just like with the Patient Portal.
VITALS AND AUTOMATED VITALS INTAKE – DATA FLOWS WIRELESSLY FROM THE VITALS DEVICE TO IMS:
IMS has always been very fast and efficient for the entry Vitals Data. Now you can have the data flow wirelessly from the Vitals device into IMS and auto-populate the screen with the Data.

- When you finish up with the patient it pushes the next appointment up to the front desk based on your recommended time and date.
IMS allows the provider to create an electronic super bill on the screen for easy and quick charge entry – This still leaves the biller in complete control as they will double check the billing before it gets submitted.
MEANINGFUL USE REPORTING MODULE AND DASHBOARD:
IMS has a really nice Interactive Meaningful Use Reporting Module that shows you exactly where you are at with meeting your Meaningful Use Objectives. You will see this information right down to percentages of compliancy, the patients you have achieved Meaningful Use with and the patients that you have not achieved Meaningful Use with yet.
PROVIDERS CHART VIEW – SHOWS ALL PATIENT DATA WITH TABS LIKE A MANILA FOLDER:
The Chart View displays all of the Patient Data and can be accessed from any screen within seconds. Providers love it because it looks and feels like a paper chart. It is especially convenient when used with the Android, Tablet PC, I-Pad or a Windows based PC.
E-PRESCRIPTIONS – PATIENT E-RX SOFTWARE
Many practices have moved to IMS because of the efficiency of this feature alone. IMS’s E-Rx process is very fast and easy. You can prescribe multiple prescriptions within seconds. With our E-Prescribing solution it pulls all of the patients Current Medications automatically. The E-Rx software also checks the Current Medications and Allergies for Interactions or Complications against the current prescription you are trying to prescribe. IMS also pulls and auto-populates all of the Local Pharmacies in your area by zip code or by city. The EMR and Practice Management software will maintain a list of Pharmacies in your area. We also train you from start to finish on how the process works, what to expect and hold your hand through completion.
PATIENT AUTHORIZATION TRACKING MODULE:
IMS has a powerful Authorization Tracking Module that will manage and track your patient authorizations.
PROVIDER REFERRAL TRACKING MODULE:
Built into IMS is the ability to track your referrals both incoming and outgoing.
PATIENT HEALTH MAINTENANCE – AUTOMATIC FOLLOW-UP AND RECALL TRACKING:
In today’s busy practice, with seeing so many patients, it is next to impossible for the provider and staff to remember everything about the patient and their health care. We help to make this easier and more efficient by having Automatic Health Maintenance Tracking. This allows you to set your patients up with a health maintenance program and automatically track it. IMS will flag you when things are due, when patients need a follow-up call, when patients lab results are in, who is due for a Re-Exam, and which patients are at risk for certain things you may want to keep an eye on. All in all everything that is time and date sensitive can automatically be flagged and tracked.
PRACTICE MANAGEMENT SOFTWARE WITH EMR:
Some people are speculating that all practice management software is the same because they all do the same basic functions. This is not the case with IMS. Several members of our programming staff are billers in addition to being programmers. Because of all of their knowledge as billers and as programmers it allows them to create tools for us to use that you will not see in other billing software programs. This directly equates into very useful practice management software features. We have a reporting and graphs dashboard that will give your office managers, administrators and providers an instant snap shot of exactly how the practice is doing. This can be generated by provider, by insurance carrier, by appointment type or procedure, by referring provider and much more. The Collections Module also helps with Practice Management, collections and overall management of the accounts receivable. We have over 400 Practice Management Reports in IMS in addition to the ability to easily generate custom reports. You can also save report template parameters and save reports as favorites for easy retrieval.
Practice Managers, Providers and Staff use the Check In and Check Out Screen for the following:
- See who is scheduled
- Who has arrived
- How long the patients have been there
- Whether or not the patient is being paid attention to
- Which room or area within the clinic the patient is in
- The visit status (Ready for provider, Needs an X-Ray, etc.)
- Whether or not the vitals been taken,
- If the visit has been billed
- Whether or not the note been singed off
- All of this is viewable from the Check In and Check Out screen, from any computer.
The Staff and Provider Task, Reminders and To Do List is also extremely valuable. The Practice Manager with the appropriate security level can see others Tasks, Reminders and To Do’s through completion. The Bi-Directional Lab Interface and Lab Tracking System helps to keep that part of your business organized. The Authorization Tracking Module will manage your Authorizations. The Referral Tracking Model will track and manage your referrals. The Meaningful Use Dashboard will Manage and track your progress towards Meaningful Use. As you are probably starting to see, IMS is strong overall as an EMR and Practice Management Solution.
BUILT IN CPT CODING ADVISORS – MAXIMIZE REVENUE:
No longer do providers have to wonder – does my documentation meet the requirements of Medicare and the Insurance companies to warrant a higher level code? The CPT Coding Advisor will look at your HPI, ROS, Examination, time spent with the patient and recommend the appropriate E&M code.
ELECTRONIC CLAIMS PROCESSING WITH THE PRACTICE MANAGEMENT SOFTWARE:
With IMS’s Interactive screens you can click on the column heading and sort the data by that column. This can be handy from the claims screen where you can click on the number of claims column and sort it largest batch to smallest batch. From there you can drill directly down to the list of all of the patients within that batch and you can even edit the claims from that screen. IMS allows you to preview the CPT, ICD9 or 10, Modifier, Units, Charge amount and the entire transaction line. If something is not correct you have the ability to edit it from there.<
Claims are scrubbed in detail before batching. It finds the missing data and reports back the patient name, the screen the data is missing from, which fields to look for and even allows you to drill down to fix the missing data all from the same screen.
When you batch the claims it allows you to send the claims batch directly from the practice management software to the insurance carrier or clearing house without having to leave the claims screen. In other words you do not have to go to the clearing houses web site to upload your batch. Reports and ERA files also flow directly back into the practice management software.
ELECTRONIC POSTING OF YOUR INSURANCE PAYMENTS – EOB’s & ERAs:
IMS will electronically post your insurance payments for you. All major carriers are providing this option now a days. Not only does it post the payments line item it also posts the write-offs, adjustments and patient or secondary responsibility.
COLLECTIONS MODULE – FULLY INTERACTIVE ACCOUNTS RECEIVABLE ACTIVITIES MODULE:
This is a dream come true for all billers and today’s practices across the country. Our Accounts Receivable module is also interactive, meaning that you don’t have to print a report to follow up on your A/R. One click will sort all of your insurance carriers with the highest balance to lowest balance. Another click on the insurance carrier will drill down to all of the patients with an outstanding balance under that carrier. It then will sort highest balance to lowest balance again.
From there if you click on the patient you are working on it drills down to the claims and CPT’s that are outstanding. Right on the screen is all of the information you will need to follow up with the insurance carrier, such as phone numbers, policy ID’s, etc. You can reprint claims, re-batch claims, add late fees, add notes to the claims, schedule the claims for follow-up, see the claims history, see a fully color coded financial ledger- all from the Collections module. Billers across the country are finding they can better manage the outstanding insurance and patient balances due for the practice. This results in increased collections with timely payments from the insurance carriers, increased patient collections and overall reduced costs. You will want to see a demonstration of this feature in IMS. It will dramatically change your practices income.
FULLY COLOR CODED FINANCIAL LEDGER:
This incredible tool was designed by a biller. You will love the power and functionality of our fully customizable color coded patient ledger! From here you can see the patient aging and insurance aging, add and edit charges, transfer money from primary insurance to cash or secondary, do write-offs, post payments, see and edit follow up notes on the claims, view the claim submission history and timely filing, view the payments and statement history, print statements, see and edit patient payment plans. You can also re bill an electronic claim or print a paper claim, resubmit an individual charge line or all charges for one date of service and much more.
FAXES COME DIRECTLY IN AND OUT OF YOUR EMR AND PRACTICE MANAGEMENT SOFTWARE:
Imagine how nice it would be if you could take anything on the screen and fax it out to anyone including Insurance Carriers, Referring Providers and Attorneys – without ever having to print it! You can also E-Mail patient data!
Since all of your patient data is stored in one convenient place, you can go to the electronic health record (EHR) and select the patients forms, documents and the visit notes you want and then fax or email them right from the screen. Providers across the country cannot believe how much time this saves both them and their staff! In addition faxes flow directly back into the EHR and Practice Management Software when a fax is received. When the fax comes in it is automatically assigned to the patient in the appropriate section within their electronic health chart.
The fax can also easily be forwarded into the provider or staff person’s inbox for them to handle. This is a great way to manage the faxes and all of the other activities that go along with them, in one convenient place.
INTEGRATED PROVIDER AND STAFF TASK LIST AND TO DO LIST
All Tasks and Activities flow to the persons Task List:
Documents that the person needs to attend to
Faxes that the person needs to take action on

All items above are main categories in your personal list. With this we are helping to achieve maximum productivity and peace of mind.

EMR DATA CONVERSIONS, PATIENT INFORMATION AND PRACTICE MANAGEMENT DATA CONVERSIONS:
We pride ourselves in having converted practices from most of the big name players in the industry.

Recently we have converted practices from All Scripts, E-Clinical, Medinotes, Chart Logic, Nextgen, E-Mds, Chiro8000, Raintree, PTOS, Source Medical, Wisdom, Altapoint, Compulink, DOX Podiatry, Eon, QuickPractice, Mars, Eclipse, SOAPWARE, TrackNet, Prime Clinical, AS/PC, Amazing Charts, XMed, Mc Kesson, GE, Office Ally, Practice Fusion, TurboPT and many more. Since we have resources that work 24 hours a day 6 days a week, 90% of the time your data is converted real time and never even has to leave your office. In other words we used to have you take a backup copy of your data, put it on a DVD or jump drive and then next day air it to us. Now with programmers working around the clock to keep up with the industry they come in remotely to your server at night with your guided prior approval and convert the data live on your server. Now a days we convert the Practice Management Software data, the Electronic Health Record Data, the Patient Visit Note Data and the Scheduling Data.
